This Privacy Policy describes how The Spokesdude Network (Pty) Ltd ("The Spokesdude Network", "we", "us") collects, uses and protects personal information processed through this website, enquiry forms, CRM records and service workflows, in line with the Protection of Personal Information Act, 2013 ("POPIA").
1. Information we collect
When you use our contact form or Excel Special qualification form we collect the information you submit: name, organisation, work email, phone number, service of interest, preferred contact method, campaign/source details, your message and your privacy-notice acknowledgement or contact permission where shown.
We also run limited first-party website analytics to understand client-facing page visits and enquiry journeys. This may include page path, event type, referrer, device/browser information and approximate country. We do not use advertising trackers or third-party profiling, and we do not store visitor IP addresses in our analytics database.
If you ask about company registration, data services, the Excel Special or another service, we may keep the enquiry details in our CRM so that we can respond, follow up and keep a record of the relationship. If you later become a client, we may also process scope confirmations, acceptance records, invoice/payment records, work instructions, customer workbooks, report data, final deliverables and service communications where needed to assess, deliver, evidence or support the engagement.
2. How we use it
We use enquiry information to respond to your enquiry, assess whether a request qualifies for a stated promotion, set up a discussion and, where you become a client, to scope, deliver and administer the engagement. We use analytics information to understand public website traffic, improve the website and monitor whether enquiries are working correctly. We do not sell or share your information with third parties for marketing.
We may send you an acknowledgement email after you submit the form and may contact you through your selected preferred contact method.
3. Lawful basis
We process information using the lawful basis that fits the activity. This may include your permission to contact you, our legitimate interest in responding to business enquiries directed to us, steps requested before entering into a contract, performance of an accepted engagement, legal obligations and recordkeeping for legal claims or disputes.
4. Retention
Enquiry messages, CRM records, scope and acceptance records, payment records, emails, workbooks, working files and final deliverables are retained only for as long as is reasonably necessary for the purpose collected, the accepted engagement, operational recordkeeping, security, legal claims, disputes or legal obligations. The detailed retention schedule for customer workbooks, legal evidence and payment records must match the live storage, email, backup and vendor environment before any public deletion commitment is made.
5. Security
Form submissions are transmitted over HTTPS, stored in our CRM environment and may be delivered to a company mailbox by authenticated SMTP. Access to the CRM, mailbox and related systems is restricted to authorised personnel. Customers should not send sensitive workbooks, passwords or unnecessary third-party personal information through ordinary enquiry forms.
6. Service providers
We use trusted service providers to host the website, store enquiry and CRM records, manage authentication, deliver email and support approved file-transfer or service-delivery workflows where applicable. These providers may process information only as needed to support the website, CRM, communication and engagement workflow.
7. Your rights
You may request access to, correction of, or deletion of the personal information you have submitted to us. You may also withdraw consent for further follow-up where applicable. Contact info@thespokesdude.com with your request.
8. Customer workbooks and third-party data
Where a customer supplies a workbook, report or dataset, the customer must be authorised to provide the information and should remove unnecessary personal information where practical. Depending on the engagement, The Spokesdude Network may act as a responsible party for its own client administration records and as an operator processing customer-controlled data under the customer's authorised instructions. A written operator or data-processing schedule may be required for sensitive or client-controlled personal information.
